Erasmus Volley invests in the protection of your personal data. In this privacy policy we will give clear and transparent information on how we treat personal data.
We do everything necessary to safeguard your privacy and because of that we treat your personal data carefully. In all cases, Erasmus Volley follows the applicable rules and laws, among which the General Data Protection Regulation. This means that we will:

Processing personal details of members
Personal details of members are processed by Erasmus Volley to reach the following goal(s):
- Administrative goals;
- Communication;
- The organization of the volleyball trainings and participating in competitions.
Grounds for these personal data are:
- The membership agreement
- Subscription form open trainings
To reach the abovementioned goal(s), Erasmus Volley can ask you for the following personal details:
- Given name;
- Infix;
- Last name;
- Date of birth;
- Sex;
- Nationality;
- Home address;
- Phone number;
- Email address;
- IBAN;
- Shirt size;
- Volleyball experience;
- Last played level of volleyball;
- Volleyball position;
- Study;
- Student number;
- Year of study;
- University/School;
- Language (Dutch/English);
- Photo’s.
Your personal data will be stored by Erasmus Volley to accomplish the abovementioned goals for the period of:
- Until a maximum of 2 years after the termination of the membership agreement and if it is necessary for the fiscal administration up to a maximum of 7 years.
Processing of personal details for the newsletter abonnement
Personal data of newsletter abonnement holders will be processed by Erasmus Volley to reach the following goal(s):
- Informing members by internal news messages
Grounds for these personal data are:
- The membership agreement
To accomplish the abovementioned goal(s), Erasmus Volley can ask you for the following personal details:
- Given name
- Infix
- Family name
- Email address
Your personal data will be stored by Erasmus Volley to accomplish the abovementioned goals during the period of:
- Membership.
Sharing data with third parties
The personal details you have given us will be shared with third parties when this is necessary to reach the abovementioned goals.
We share personal data with the following third parties:
- Nevobo: Participating in competitions
- Erasmus Sport: Subsidies and hall rent
- Erasmus University Rotterdam: Subsidy
We never share personal data with third parties with which we do not have a processing agreement. We make agreements with these parties to guarantee the security of your personal data. Furthermore, we will not share your data with third parties unless this is lawfully permitted and mandatory. Example: in case a police officer requests personal details for an investigation. In such a case we are obliged to cooperate, and it is mandatory for Erasmus Volley to share relevant data. Also, we can share personal data with third parties when we have your written permission.
Inside the EU
We do not share any personal data with parties located outside the EU.
Minors
We only process personal data of minors (below the age of 16) when we have written permission of their parents or legal guardians.
Retention period
Erasmus Volley safes personal data no longer than necessary to fulfil the goals for which the data is needed or is mandatory by law.
Security
We have taken fitting technical and organizational measures to protect your personal details against wrongful processing. We have taken the following measures:
- We use usernames and passwords on all out systems;
- We make back-ups of all personal data, so they can be restored in case of physical or technical incidents;
- Our volunteers are informed about the importance of the protection of personal data.
Rights regarding your data
You have the right to view, rectify or delete any personal detail you have shared with us. Also, you can send a protest against the processing of your personal details (or a part of) by us or one of our volunteers. You have the right to ask us for the personal details which you have shared with us or share these with a third party if you give that assignment. We can ask you to show identification before complying with said requests.
You have the right to retract your permission to process your personal details at any time.
Complaints
In case you have a complaint about the processing of your personal details, we ask you to get in touch with us immediately. If we cannot come to an agreement together you have the right to leave a complaint at the Autoriteit Persoonsgegevens, the controlling authority in the field of privacy in the Netherlands.
